Online MSDS Database. Need a website created to hold and manage documents. The documents will all be pdf extensions. The website must be username and password authenticated to prevent unauthorized access. Multiple companies will be using the database and should be segregated from each other (allowed to see their documents, open their documents, manage their documents, etc.) However, a user should not be able to view, open, or manage documents assigned to a different company. The website must contain a database in which information about the document can be held. Each document will be searchable by one or more criteria (ex. description, manufacturer, part number, etc.). The website and database will also hold a list of work areas. Documents will be assigned to one or more work areas and searchable by work area. I envision the website having 4 modules: - Administrative: pages where users can be setup, passwords changed, access to modules granted. - MSDS Management: pages that allow new documents to be loaded into the system, data from the document to be input, documents archived, data updated. - MSDS Search: page that allows documents to be searched by data associated with the document. - Reports: pages that provide reports summarizing data from the documents (ex. report showing all materials containing a certain chemical). ## Deliverables **GENERAL AND USERS **- The name of this MSDS Portal has not yet been decided. Once it has, the screens will need to display the portal's name throughout. - When a user logs into the system, the system must be capable of determining what company they work for and restrict their access to the data associated with only that company - User access must be able to granted module specific. Each user must be able to be granted access to one or more modules. - There must be a change password area where the user can change his/her password. - There must be a lost password link that will allow the users password to be emailed to an email address already associated with the user in their account. - There should be three levels of user access. Administrators will be from my company. They will have access to perform any functions within the system. UserAdmins will be allowed to change or edit user accounts associated with their company. Users will be allowed to perform any actions associated with the modules they have access to (excluding Administration). There should be a logout button and the system should be capable of automatically logging a user out after a set number of minutes of inactivity. **MSDS DOCUMENTS AND DATA **- PDF documents (called MSDS) should be assigned a unique MSDS number. This will allow them to be loaded into the database only one time, yet accessed by different customers that use the material. - Each MSDS document will list the chemical's properties and ingredients. The database must be capable of holding and displaying this information for each MSDS. There may be up to 25 ingredients and each ingredient will list its EPA control number (CAS Number) and the percentage of its makup of the material (called Use Percent). The chemical properties are: - Revision Date (Date Field) - Product Name (Text) - Manufacturer (Text) - HMIS Health (Integer) - HMIS Flammability (Integer) - HMIS Reactivity (Integer) - HMIS Personal Protection (Alpha Numeric <4 char) - Chronic (Yes/No) - Each customer will be able to assign a customer part number and customer description to each MSDS they are using. In addition to the above fields, they must be able to search for the material by their part number and their description. - Each customer will be able to define a list of work areas within their facility. Each work area will have a Name, Description, Building Number, Post, and Supervisor. - Each work area will be able to be associated with all MSDS that are used in that work area. Within the MSDS search screen, the customer should be able to search for all MSDS assigned to their work area. - Any place where searching returns results, there will be a link to open the pdf document from that search grid. - MSDS management screens must be intuitive and easy to use when loading new MSDS, assigning them to work areas, editing properties and ingredients, or deleting records. - There should be a method for Administrators to export all pdf images for a particular customer into a zip file to be burned to DVD. *(will take any other reasonable suggestions for a backup MSDS system. Federal law required MSDS to be accessible in the event that the internet goes down). * **REPORTS **- Below is a list of reports required: + MSDS List: A list of all MSDS associated with a particular customer. (MSDS number, Customer Part Number, Description, Product Name, Manufacturer, HMIS Health, HMIS Flammability, HMIS Personal Protection, Chronic, Revision Date). + MSDS by Ingredient: After typing in the name or CAS Number of an ingredient, the report will display a list of all materials with that ingredient. (MSDS number, Customer Part Number, Description, CAS Number, Ingredient Name, Use %) + Chronic Materials: Report will return a list of MSDS associated with that customer where the chronic property is set to Yes. (MSDS number, Customer Part Number, Description, Revision Date). + Work Area MSDS: After selecting or typing in the work area name, the report will return a list of all MSDS associated with that work area (MSDS number, Customer Part Number, Description, Revision Date). - All reports must be capable of being exported to MS Excel.
