I am trying to create a simple contract management system.
I am looking for the ability for user to log into an Access database, add new contracts, (edit and modify them), and track those transactions thru a history table.
In addition, I would like the ability to report on the status of the contracts by contract or by agency.
More information:
There are about 8 main tables (but a number of additional sub-tables might be needed):
1. Contracts
2. Procurement Actions
3. Modifications
4. Users
5. Agencies
6. Programs
7. Transaction History Table
8. Contract Status
There are five main queries:
1. By User – what contracts are they working on and status
2. By Procurement Action – what contracts are in this stage of procurement
3. By Contract (requisition) Number
4. By Agency - what contracts are linked to which agency
5. By Obligation Number
There are five main reports:
1. Contract Report – list of all contracts, with title, contract number, agency, contract status, contract assigned to (buyer), date entered into system
2. Agency Report – list of all contracts by agency, with title, contract number, contract status, date entered into system, total # of contracts, with correspondence dollar figure for all contracts
3. By Buyer (or User) Report – list of all contracts by buyer, with title, contract number, contract status, date entered into system, total # of contracts, with correspondence dollar figure for all contracts
4. By Fiscal Year Report (October 1, XXXX to September 30, XXXX) - list of all contracts that fall within these date range, with title, contract number, agency, contract status, and date entered into system
5. By Program Name – same as a Agency Report, but with a further breakdown of programs within an agency.
In addition, we need the following:
1. Ability to Login
2. Ability to run reports
3. Ability to track users
4. Maybe a calendar to review the status – of buyer
5. Ability to track all transactions in an history table
