Traditional Arts and Ethnology Centre (TAEC) employs up to 20 staff members (full and part-time) in Laos. We would like a Microsoft Access database for HR management to record leave (absences, sick, vacation, and other), salary advances and loans, insurance payments, and lunch payments, and to calculate monthly salary/wages and payments to staff. We currently use one excel spreadsheet (Staff working hours [login to view URL]) for recording time worked and leave taken. We use a different excel spreadsheet to calculate and record the payments made to each employee. Most staff are paid in the local currency (LAK), but a few staff are paid in USD.
We want to improve our system for recording and accessing HR information. The file (HR [login to view URL]) shows the fields we want to record by date. We envision an employee record form with basic information including name, start date, end date, regular working hours, starting salary or wage including currency, increase of salary or wage with date of increase, annual sick days, annual vacation days, and a lunch payment (yes/no) and insurance (yes/no).
On a daily basis, time worked is recorded in days for each employee. Additional time worked may include special hours (added to vacation time), overtime hours (paid with monthly salary), and nights worked at the boutique location(paid with monthly salary). The reason for special hours or overtime hours should be noted, as well as the dates worked at the boutique location.
When an employee takes leave (sick, vacation, absences, or other leave), this will be recorded with the type of absence, date, and reason. Sick and vacation days should be subtracted from the annual allotment.
Lunch payments are also made for certain employees for each day worked and are paid with monthly salary. Some employees have an insurance payment deducted from their monthly salary.
Employees may take a salary advance, which is then deducted from their next monthly salary. Employees may take out a larger loan, which must be repaid within 6 months. Advances and loans may be made in LAK or USD. Loans have terms (amount to be repaid each month and the period of time to repay) and include a reason for the loan. Repayment of the loan is made through a monthly salary deduction.
On a monthly basis we envision running a report that will calculate salary/wages with any additional payments and debits for all employees. Individual reports by employee should also be possible.
